Planning Photography and Video for a Conference in Tanzania
Conference coverage should follow the programme and communications plan. A single camera position cannot necessarily cover simultaneous sessions, interviews and audience reactions.

Map rooms and moments
Share the running order, room plan, speaker list and sponsor requirements. Mark the sessions that need full recording and those requiring only photographs or highlights. Identify overlaps so the crew can be sized realistically.
Connect venue teams
Introduce the producer to audio, lighting and event contacts. Confirm recording feeds, camera positions, presentation access and attendee notices. Schedule group portraits and interviews rather than hoping they fit into a crowded break.
Plan publication
Agree urgent press images separately from the complete gallery and edited film. Identify who approves selections during the event. Confirm captions, speaker names and file delivery so the communications team receives usable assets at the right time.
