Building an Event Coverage Shot List for Organizers
An event shot list should describe priorities, people and timing. It helps the crew make decisions when several things happen at once.

Identify the essentials
List key speakers, ceremonial moments, sponsor commitments and group portraits. Include names or reference images for people the crew must recognize. State where each moment happens and whether it can move without notice.
Add context
Venue details, arrivals, audience participation and interactions can explain the event beyond the stage. Ask for a balanced record rather than only VIP close-ups. Identify private sessions or attendees who should not appear in public material.
Keep it usable
Separate essential, useful and optional items. Nominate a coordinator to notify the crew of programme changes. An overlong list without priorities does not help when a speech and a group arrival happen simultaneously.
