Hotel Photography Licensing: Questions to Settle Before Production

Receiving image files and receiving permission for every possible use are different things. Agree the intended channels and recipients in the production contract.

List your users and channels

Identify the hotel website, booking platforms, social accounts, advertising and trade materials. Ask about agents, a parent brand, designers and other partners who may need files. Third-party reuse should be discussed rather than assumed.

Clarify the boundaries

Ask about duration, territory, paid advertising, alterations and onward distribution. Confirm any separate restrictions attached to models, locations or contributed material. The written agreement, not a general online article, determines the rights for your assignment.

Keep records with the images

Store the licence and any publication conditions alongside the approved library. Make sure external marketing teams know the scope before passing files onward. If a new use appears later, ask for confirmation before treating it as included.
