Planning Photography for an NGO Annual Report
Annual-report photographs need accurate captions and a clear relationship to the reporting period. A visually strong image is less useful when the team cannot identify its context or permitted use.

Map the report sections
List programmes, locations and themes that need coverage. Distinguish current fieldwork from archive material. Give the photographer the intended layouts and space for captions so images support the actual publication.
Collect context responsibly
Record enough information to caption the work accurately without exposing unnecessary personal details. Follow consent and safeguarding requirements. Do not imply that a person received a specific service or achieved an outcome simply because they appear near an activity.
Deliver an organized library
Agree filenames, captions, dates where known and usage restrictions. Keep print-ready files and smaller review copies separate. Have programme staff verify captions before design sign-off and identify images unsuitable for public reuse.
