Choose a controllable setting
Ask your resort or venue about a quiet location and a fallback. Confirm the photographer's access and where the team can wait without revealing the plan. If a boat or special setup is involved, coordinate those arrangements separately with the provider.
Rehearse the logistics
Agree your arrival route, a signal and what happens if you are late. Wind may make distant speech difficult to record, so tell the videographer whether spoken words are essential. A separate message after the moment may be a practical addition.
Protect the announcement
Specify which images, if any, you need quickly and when the studio may share them. Confirm travel, permissions and delivery in writing. Leave the couple time to enjoy the moment before starting directed portraits.
